Who is responsible
Roupiço Group is a UK-based digital support business and is responsible for the personal information described in this notice. Questions or privacy requests can be sent to hello@roupicogroup.com.
Information we handle
- Website use: page and device information collected by Google Analytics only after you accept analytics.
- Technical logs: information such as IP address, browser details, requested page and time, processed by Netlify to deliver and protect the website.
- AI service guide: business information you choose to type into the optional AI guide.
- Enquiries: information you choose to send by email or WhatsApp.
- Client work: contact details, project instructions, supplied files and records needed to deliver agreed work.
Do not send passwords, payment-card information, health information, identity documents or other unnecessary sensitive information through the guide or ordinary messages.
Why we use it
- To respond to enquiries and take steps you request before entering a contract.
- To deliver and administer agreed work, including necessary project and financial records.
- To keep the website reliable and secure, based on Roupiço Group's legitimate interests.
- To understand website use through Google Analytics, based only on your consent.
Analytics and cookies
Google Analytics is not loaded unless you select Accept analytics. Advertising personalisation and Google Signals are disabled in the website configuration. If accepted, the AI guide records only interaction labels such as opening or starting the guide, creating a summary, and choosing a contact route. Messages and summary text are never included in analytics events. You can reject analytics and still use the website normally.
| Storage | Purpose | Duration |
|---|---|---|
roupicoAnalyticsConsent | Remembers whether you accepted or rejected analytics. | Until you change the choice or clear browser storage. |
_ga and _ga_* | Google Analytics audience and usage measurement; created only after acceptance. | Configured for up to 395 days. |
AI service guide
The optional AI guide asks focused questions to understand what you would like to improve and help shape a useful starting point. Each message and a short, signed conversation context are sent to a same-origin Netlify Function and then directly to OpenAI using a dedicated Roupiço Group API project. The guide cannot browse links, take actions or send an enquiry. A handoff happens only if you choose the WhatsApp or email link.
Roupiço Group does not save the transcript to a database or browser storage. Conversation context is held in page memory and in a signed token that expires after 30 minutes. You can edit a prepared contact summary in your browser; that edited copy is used only to build the WhatsApp or email link you choose. Model responses are requested with storage disabled. OpenAI may retain API abuse-monitoring logs containing prompts and responses for up to 30 days and states that API data is not used to train its models by default.
Service providers and transfers
Roupiço Group uses service providers only where needed: Netlify for hosting and serverless functions; OpenAI for the optional service guide; Google Analytics for consented measurement; Zoho for business email; WhatsApp/Meta when you contact us there; and Dropbox when a client uses the upload doorway. These providers process information under their own terms and may process it outside the UK. Where required, they use recognised contractual or legal safeguards for international transfers.
How long information is kept
Information is kept only as long as it remains necessary. Roupiço Group does not retain AI-guide transcripts; the signed conversation token expires after 30 minutes, while provider security and abuse-monitoring records follow the periods described above. As other working limits, enquiries that do not become client work are normally removed within 12 months; client, contractual and financial records may be retained for up to six years where needed for delivery, tax or legal claims; analytics information follows the retention controls configured in Google Analytics and is kept only while it remains useful for website measurement. Hosting and security logs follow the provider's operational retention periods.
Your rights
Depending on the circumstances, you may ask for access, correction, deletion, restriction, portability or an objection to how your information is used. You may withdraw analytics consent at any time using Cookie settings. Contact hello@roupicogroup.com to make a request.
If a concern is not resolved, you can complain to the UK Information Commissioner's Office through ico.org.uk.
Updates
This notice will be updated when the website, service providers or information-handling practices materially change. The date above shows the latest revision.
